Group Ruiz

Since 1967, the Ruiz Group has successfully combined family heritage with entrepreneurial growth. With locations in Castelnaudary and Le Boulou (South West of France) nearly 90 trucks, 110 employees, and 17 million euros in revenue, the group has established itself as a key player in transportation and logistics in the south of France.

Under the leadership of Lisa Ruiz, a representative of the third generation, the company has taken a significant step forward: modernizing its transport management system with Dashdoc. This project, both strategic and operational, has proven to be a true performance booster.

The result ?

  • A gain of one and a half weeks on monthly billing,

  • administrative checks reduced by two-thirds,

  • and up to 1.5 hours saved per day per operator.

Additionally, real-time visibility provided to clients through the Dashdoc portal and 1,000 monthly shipments on Palet System are now automated.

More than just a software change, Dashdoc has enabled the Ruiz Group's employees to structure their processes, regain control over their time, and strengthen customer relationships. All of this while staying true to the Ruiz Group's family DNA: evolving the company with dedication, commitment, and a lot of heart, all while looking firmly toward the future.

The Story of the Ruiz Group

Origins and Development of the Group

The story of the Ruiz Group began in 1967 when a man, Mr. Ruiz, decided to venture into the road freight transport business with a few trucks and a lot of courage. Through hard work and determination, he laid the foundations of a family business deeply rooted in its region.

In 2001, his son, Thierry Ruiz, took over the reins. He inherited his father's entrepreneurial spirit but had a broader vision. Under his leadership, the company expanded its scope. Thierry structured the business, developed services, and pursued an ambitious growth strategy. Between 2015 and 2016, he made several key acquisitions—Transports Segur, Cabaille, and later Tifesa—thereby strengthening the Ruiz Group's presence in the south of France and diversifying its offerings. With these acquisitions, the group continued its development in pallet distribution through the Palet System network of the ASTRE group.

Today, a third generation is preparing to continue this journey. Lisa, the founder's granddaughter, embodies a new dynamic focused on innovation and digitalization while remaining true to the family's core values: high standards, closeness, and team spirit

ASTRE is the leading European network of transport and logistics companies, designed to pool resources and optimize operations. Within this network, Palet System is a key tool that facilitates pallet distribution. Dashdoc integrates seamlessly with Palet System, enabling smooth and automated management of pallet shipments for the network's members.

A Family Structure and Knowledge Transfer

The Ruiz Group is a true family business, where each member plays a key role. Lisa's father is the group's director and also leads business development, her mother manages the finances, and her sister Justine is in charge of human resources. Meanwhile, her partner Sébastien is the operations manager. Lisa herself is responsible for billing as well as implementing tools like Dashdoc. She has been immersed in the world of transportation since she was a child.

When I was a child, I used to ride my bike around the trucks because the old depot was at my grandparents' place, and my parents' house was just a hundred meters away.

Lisa joined the company in 2014 as an apprentice and has since held various roles, from operations to billing. Passionate about the transportation sector and with great ambitions for the group, she represents the new generation ready to combine tradition and innovation for the future of the Ruiz Group.

Values, Passion, and Vision

Another distinctive feature of the Ruiz Group is its commitment to corporate social responsibility (CSR). This is a topic particularly close to Patricia Ruiz's heart. She has initiated efforts such as obtaining ISO 26000 and Objectif CO2 certifications. These efforts reflect a desire to reduce the carbon footprint and adopt sustainable practices, values that Lisa aims to uphold.

Additionally, the group actively promotes the inclusion of women in the transportation sector by collaborating with employment agencies to encourage women to explore career opportunities in the industry by visiting their sites.

Choosing Dashdoc to Accelerate the Group's Development

Challenges and Motivations for Changing the TMS

Before adopting Dashdoc, the Ruiz Group faced several challenges with their previous management software and organization. The processes required manual scanning of documents and time-consuming data entry, which slowed down operations. Having already experienced Dashdoc for eCMR, Lisa considered using Dashdoc as their TMS to modernize their transport management system. Her familiarity with the interface, gained through the guest portal, facilitated the transition, and numerous demonstrations convinced the company of Dashdoc's benefits.

While Lisa and her father were convinced of the advantages Dashdoc could bring to their business, the Ruiz Group is a family-run company, so it was necessary to convince the entire family before adopting the solution.

A Smooth Rollout Designed for Drivers: The Ruiz Group's Approach with Dashdoc

The deployment of Dashdoc within the Ruiz Group began at the Castelnaudary site due to its smaller size and fewer files. This allowed for a smooth transition before extending it to the Le Boulou site. The drivers, who were already accustomed to taking photos of CMRs with AddSecure to integrate them into the system, easily adopted Dashdoc.

When Dashdoc was implemented for the drivers, it went relatively smoothly because it's very user-friendly.

Dashdoc in One Word

For Lisa, the word that defines Dashdoc and her experience with us is "evolution." This encompasses both the technical evolution, with constant updates and the regular introduction of features that enhance the daily lives of transporters, and the support Dashdoc provides in the growth of a transport company and its employees.

I met people at Dashdoc who supported me, and it was incredibly helpful!

A Productivity Boost Across the Entire Operation

Express Billing: How Lisa Reduced Her Processing Time by 80%

Before Dashdoc was introduced, billing within the Ruiz Group was a long and tedious task. Each document had to be processed manually: printing, scanning, filing, and data entry—a cumbersome process prone to errors and time-consuming.

Since implementing Dashdoc, things have changed. With the digitization of documents and automation of processes, processing time has significantly decreased.

I've saved an incredible amount of time on billing—I've gained a week and a half.

The review of all files, which used to be tedious, is now completed in just one hour a day. Errors are much rarer and easier to correct thanks to the centralization and traceability provided by Dashdoc. This change has allowed Lisa to free up time to focus on other higher-value tasks.

Over an Hour Saved Per Day: The Dashdoc Effect on Operations

Before implementing Dashdoc, the operations teams at the Ruiz Group had to deal with time-consuming manual processes. Each shipment required separate management: sending confirmations via email, printing waybills, and making phone calls to drivers or clients. The proliferation of different tools and manual tasks made tracking difficult and increased the risk of oversights or errors.

Since switching to Dashdoc, operators now enter information just once into the TMS. Freight confirmations, transport documents, and tracking are all centralized, automated, and updated in real-time. This efficiency gain saves the teams between 1 and 1.5 hours each day.

On the client side, the impact is also noticeable: thanks to the client portal, they can track their operations in real-time, including pallet tracking, which enhances their satisfaction and trust. Even those initially hesitant about eCMR are starting to adopt it, demonstrating the perceived concrete value.

Everything is in one tool; we enter the information once, and that's it. The clients are happy because they have the visibility they were looking for.
